Is there a way to transfer a Qualtrics survey to another person to administer?

The answer for this is yes, and no.  

There isn't a simple feature that will enable a survey created by User A to simply transfer the administration, operation, and all collected data to User B.  However, there is a workaround if you need to transfer.  

Reasons to transfer can include moving offices, changing jobs, leaving the organization, and confidentiality concerns.  It's not often, but can come up and below is a workaround:



  1. After creating your survey, click the dropdown box to open more options (1), then select Collaborate (2) to open the next dialogue box.



  2. Search for the user you wish to transfer your survey to.  You can search by user ID, last name, or simply enter the e-mail address of the person you wish to transfer to, and select Save:





  3. Select the permissions you'd like to provide the user you're transferring the survey to.  In most cases, you will want to select ALL options since they will be responsible for the ongoing administration and operation of the survey.



  4. After hitting Save, this will trigger an e-mail to the new user and be accessible in their Qualtrics account under the folder titled Shared with Me.

WORKAROUND NOTE:  For purposes of ensuring clarity, the following definitions of the remaining process are provided:

  • Original Survey - the survey created by the person wanting to transfer ownership to another user.
  • Shared Survey - the survey shared by the original person and received by the new user in their Qualtrics account.  If used, the original creator will continue to have access to the data collected.
  • Copied Survey - a copy of the shared survey, but with new/unique links to capture data.

At this point, the new user will want to create a copy of the Original (or shared) survey, rename it, and continue using the copied survey for ongoing utilization.  The reason for this is because if the survey was created to capture sensitive data, the original creator of the survey will still have access to that information.  There may be times where it might be beneficial to have multiple survey administrators, however, the purpose of this Knowledgebase article was intended to define a complete transfer.

  3. Make any changes to the survey needed and when it's ready to be distributed, be sure to utilize the Distribution link from the Renamed Survey.
